Upload and usage troubleshooting

Fix document upload errors, storage limits and usage exceeded states.

Upload blocked

If storage is full, Polaris blocks new uploads and ingestions only. Existing documents, search and chats continue working.

Fix options:

  • Delete unused documents.
  • Upgrade the plan.
  • Wait for operational cleanup if your team manages storage centrally.

Usage warning

Warnings at 80% and 95% do not block operation. They are designed to prevent surprise outages.

Grace active

Grace means the workspace is temporarily above plan capacity. Upgrade before grace is exhausted to avoid capability-specific blocking.

Partial indexing

A document can upload successfully even if some parts are not available to the chatbot. This can happen when the plan does not include OCR/Vision, when the file exceeds plan limits or when OCR times out on one or more pages.

In Documents you may see badges such as Partial indexing, OCR not included, Vision not included, Partial OCR or OCR timeout. Open the document detail to see the recommended warning.

If a scanned PDF has no indexable content, use a plan with OCR or upload a version with selectable text.
