Set up Polaris Operator
Enable Operator to run actions, request approvals and automate processes gradually.
Polaris Operator lets a chatbot do more than answer questions. It can help create leads, prepare appointments, send requests, ask for approval or start tasks when a conversation needs to continue outside the chat.
The goal is not to automate everything at once. Start with one clear action, test it well and add more capabilities once the process is stable.
When to use Operator
Use Operator when the user needs more than an answer:
- Create a lead for sales follow-up.
- Prepare an appointment request.
- Send a task to the support team.
- Ask for approval before a sensitive action.
- Connect a conversation to another tool.
If the chatbot only needs to answer questions from documents, you do not need Operator yet.
Recommended order
- Choose a small, low-risk action.
- Define what information the chatbot needs to prepare that action.
- Test the flow manually before automating it.
- Add human approval if the action can affect a customer, appointment or important record.
- Enable broader automation only after the flow is reliable.
Start safely
Design the first actions so they can run safely without creating duplicates or unexpected results.
For example, start with actions like creating an internal task or preparing a lead for review. Save more sensitive actions, like confirming appointments or sending external messages, until you have enough confidence in the flow.
Tracking and control
Polaris records the important parts of each action: what was attempted, whether it completed, whether it failed or whether it is waiting for approval.
This helps your team review what happened and continue the process without losing context.
