Create a workspace

Set up the space where your chatbots, documents, channels and main settings live.

A workspace is the main place where you organize Polaris. It contains the chatbots, documents, channels, bookings, members and settings for one operation.

Think of a workspace as the working area for a team, brand, clinic, branch or company.

What a workspace contains

Inside a workspace, you can manage:

  • Chatbots.
  • Documents and information sources.
  • Channels like web or WhatsApp.
  • Booking setup.
  • Team members.
  • Plan usage and limits.

How to organize workspaces

Use a workspace for each operation that has its own information, channels or users.

Common examples:

  • A clinic with its services and schedules.
  • A branch that serves a different customer base.
  • A brand with its own documents.
  • A support team with specific processes.
  • A company that wants to separate internal and external operations.

Practical recommendations

Before creating multiple workspaces, check whether the information really needs to be separated.

Keeping related work in one workspace makes it easier to:

  • Update documents.
  • Test chatbots.
  • Review usage.
  • Manage channels.
  • Keep settings consistent.

What to avoid

Avoid creating multiple workspaces for the same team if they will share the same documents and channels. That can force you to update the same information in several places.

Also avoid mixing very different operations in one workspace. If two teams use completely different documents, channels or processes, they probably belong in separate workspaces.
